Privacy Policy

This policy explains what personal information Waarp collects, how we use and share it, and the choices you have, with particular attention to the voice recordings and transcripts created during AI discovery interviews.

1. Who this policy covers

Waarp serves two groups of people, and this policy applies to both:

  • Customers: founders and teams who create an account, set up discovery campaigns, and run interviews.
  • Interviewees: people who opt in to a customer’s campaign and take part in an AI voice interview, by phone or in the browser.

For interviewee information, the Waarp customer who ran the campaign is a controller of that data and decides why the interviews happen; Waarp processes it on their behalf to provide the Services, and also as a controller for our own operational purposes described below. If you were interviewed and have questions, you can contact us or the customer who invited you.

2. Information we collect

Information you give us

  • Account and profile data: name, email address, and password credentials (authentication is handled by Amazon Cognito), and your organization or workspace details.
  • Campaign content: the product hypotheses, target audiences, and interview questions you create, with or without AI assistance.
  • Billing data: your plan and purchase history. Card payments are processed by Stripe; we do not store full payment card numbers.
  • Support and communications: messages you send us and any founder-pricing or contact form submissions.

Information we collect from interviewees

  • Opt-in details submitted through a campaign signup form, which may include name, email address, and phone number.
  • Voice recordings of the interview and the machine-generated transcript of what was said.
  • The AI-generated analysis derived from each interview: the extracted signal, scores, verdicts, and briefs.

Information collected automatically

  • Log and device data: IP address, browser type, timestamps, and pages or actions, kept for security and to operate the Services.
  • Essential cookies and similar local storage needed to keep you signed in and remember basic preferences. We do not use them to sell your data.

3. Interview recording and consent

Interviews are recorded and transcribed; that is the core of the Service. Before an interview begins, interviewees opt in and are told the conversation is with an AI interviewer and will be recorded. Recording laws vary by location, and some require the consent of every party on the call.

Customers are responsible for ensuring they have a lawful basis to recruit, call, and record the people they invite, including obtaining any consent required where those people are located. Waarp provides notice and opt-in tooling to support this, but the customer directs who is contacted.

4. How we use information

  • Provide the Services: set up campaigns, place outbound interview calls, host the voice conversation, and record, transcribe, and analyze interviews.
  • Generate results: produce transcripts, verdicts, scores, campaign reporting, and briefs for the customer who ran the campaign.
  • Billing and account management: process payments through Stripe, meter usage, and prevent fraud and abuse.
  • Support, security, and legal: respond to requests, secure the platform, enforce our Terms, and comply with applicable law.
  • Improve the Services: using aggregated or de-identified data that does not identify you. We do not use your interview content to train third parties’ general-purpose AI models.

5. AI processing of interviews

To run and analyze interviews, audio and text are processed by automated speech-to-text, text-to-speech, and large language models (see our service providers below). Verdicts, scores, and briefs are generated by AI and may contain errors; they are decision-support outputs, not professional advice or a guaranteed assessment of any person or idea.

6. How we share information

We do not sell personal information. We share it only as needed to run the Services:

  • With the customer: interview recordings, transcripts, and analysis are made available to the customer whose campaign produced them.
  • With service providers (subprocessors) who process data on our behalf under contract: Amazon Web Services (hosting, storage, email, and AI models via Amazon Bedrock), Twilio (telephony and the real-time voice connection), speech-to-text and text-to-speech providers used in the voice pipeline, Anthropic (the Claude models that conduct and analyze interviews), and Stripe (payments).
  • For legal reasons: to comply with law, respond to lawful requests, or protect the rights, safety, and property of Waarp, our customers, or others.
  • In a business transfer: if Waarp is involved in a merger, acquisition, or sale of assets, subject to this policy.

7. Data retention

We keep personal information for as long as your account is active or as needed to provide the Services, and afterward only as required to meet legal, accounting, or security obligations. Customers can delete campaign data, including recordings and transcripts, from their workspace; deletion may not be instantaneous across backups. When information is no longer needed, we delete or de-identify it.

8. Security

We use technical and organizational measures, including encryption in transit, access controls, and reputable cloud infrastructure, to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. International data transfers

Waarp is operated from and hosted in the United States. If you are located elsewhere, your information will be transferred to and processed in the United States and other countries where we or our service providers operate, which may have different data-protection laws than your own. Where required, we rely on appropriate safeguards for these transfers.

10. Your rights and choices

Depending on where you live, you may have rights over your personal information, including to access, correct, delete, or receive a copy of it, to restrict or object to certain processing, and to withdraw consent. Because we do not sell personal information, there is nothing to opt out of in that respect. We will not discriminate against you for exercising these rights.

To make a request, email privacy@waarp.io. If a customer controls the interview data you are asking about, we may direct your request to them or act on their instructions. We will verify your request before acting on it and respond within the time required by applicable law.

11. Children

The Services are for business use by adults and are not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide a more prominent notice. Your continued use of the Services after an update means you accept the revised policy.
